Overview


Document Review has been designed to allow managers, partners or team leaders review a set of documents to be sent to a client prior to dispatch.

This feature is an extension of the Document Production process in CAS 360.  

Workflow


Step 1: Complete a change to company's details Complete a change of details or process an annual review.
Step 2: Prepare documents in CAS 360 Prepare associated ASIC forms and minutes in the document production screen. 
Step 3: Flag documents for review 

Prior to dispatch, flag the Document Review icon.

Step 4: Input the Reviewer's email

Select a reviewer to send to (more than one can be selected). The reviewer drop-down list will display all CAS 360 Users of your firm. 

Step 5: Add Note to Reviewer

Select mceclip0.png to include any notes for the reviewer. Notes will appear upon reviewing the documents in the Documents Review tab. 

Step 6: Select Send All CAS 360 will send the documents to only the reviewer.
Step 7: Accepted/Declined

Accept: The reviewer will accept the documents and they will be dispatched to the client for signing.

Decline: The reviewer may decline the documents and a Notification will be received in CAS 360. Documents will not be sent to the client.

Step 8: CAS 360 Notifications CAS 360 will update all users of the acceptance/declining of documents produced via the Notification System.

Example


A resignation of a director was completed. In this example, prior to the dispatch of documents a reviewer will receive the documents and approve the changes. Once accepted, these documents will be sent to the client.

Preparer:

Click  to Prepare the forms and documents.

In the Document Production screen, select Flag documents to be reviewed?

Select a reviewer to send to (more than one can be selected). The reviewer drop-down list will display all CAS 360 Users of your firm.

Important: The Reviewer must first be added as a User before they can be selected. 

Include any notes for the Reviewer by selecting mceclip0.png. The reviewer will be able to view the notes upon reviewing the documents.

An email preview screen will appear. This email will be sent to the reviewer. Select mceclip2.png

Reviewer:

The reviewer will receive an email with a link to login to CAS 360. This will direct them to the Document Review screen.

From the Main toolbar, go to Documents mceclip9.png

Document Alert Filters

All Documents Display all documents
Pending Review Display all documents currently pending a review. 
Review Passed Display all documents where review has been passed
Review Failed Display all documents where review has failed

After reviewing the documents, the reviewer will select either Approve Document or Reject Document.

 

If rejected, the document will not be sent to the client and will remain in document production and in Global Documents/Company Documents screen with the document status as Review Failed.

In addition, if the document is rejected, the original prepareer of the document will recieve an email, notifying them that the document has been recjected with the reason included in the email.

Notes can be made by the reviewer to explain the reason for declining. Hover over the icon in the Global Documents/Company Documents screen to view document notes.

If accepted, the documents will be dispatched to the client for signing.

TIP!

To update the email sender name and reply to addresses, refer to the Email Settings screen. Users can choose between the Preparer or Reviewer as the sender of the email. 

CAS 360 will display an update of acceptance or decline of documents to the preparer via the Notification System.
